This policy explains how and why Shift Coaching & Development Ltd (“we” or “us”) collect, store and use your personal data. It also explains your rights about the personal data we hold and how to contact us or the Information Commissioners Office.

We are a registered data controller with the Information Commissioner’s Office under number ZA410735. Our data controller is James Hutton. 

Personal information we collect about you

We will collect personal information about you in the course of providing our services. This policy applies to all staff, contractors, suppliers and other people working on behalf of us. It applies to all data that the company holds relating to identifiable individuals.

This can include:

 • Postal addresses

 • Email addresses

 • Skype addresses

 • Telephone numbers

 • Results of personality profiling tools and feedback documents 

 • Plus any other information relating to individuals

How we process your data 

We only process your personal data where the purposes are justified on the basis of our legitimate interests in running and promoting our business; we may use your personal data to send you updates by email about our products, services and updates such as newsletters.

We will retain data only for as long as is legally required and will not use your personal data for any reason beyond the original intended processing purpose. We do not transfer personal data outside the EEA.

As outlined above, all individuals who are the subject of personal data held by us have a right to access the information held about them. These “subject access requests” should be made by email.. 

Data storage

Where data is stored on paper, it is kept in a lockable cabinet. Data printouts are shredded and disposed of securely when no longer required.

When data is stored electronically, it is protected from unauthorised access, accidental deletion and malicious hacking attempts by:

 • Data is protected by strong passwords and can only be accessed by a personal login

 • If data is stored on removable media (like a USB stick), these are held securely when not being used

 • Data is only stored on designated drives and servers, and is only uploaded to an approved cloud computing service

 • Data is backed up frequently and the backup is held securely

 • All servers and computers containing data are protected by approved security software

Data accuracy

The law requires us to take reasonable steps to ensure data is kept accurate and up to date, these include:

 • Data is held in as few places as necessary 

 • Data is reviewed and updated on an annual basis, any data that is found to be inaccurate, such as old email addresses will be deleted

Website Visitors 

Our website does not use Cookies. The contact form simply sends an email to us. We do not hold any personal data on the website.

Disclosing data for other reasons

We do not trade personal data for commercial purposes and we will only disclose it if required by law, necessary to arrange your event attendance, or where applicable with your consent. If you have a data protection query regarding the processing of your personal data, please contact us.
